Privacy Notice

RealAutomationai Ltd, trading as ReferralHub, of 12 Windermere Road, London SW16 5HG, United Kingdom, is the data controller for the personal data described here. You can reach us about privacy matters at privacy@referralhub.app.

• Account data: name, email address, login credentials, role (venue, promoter or admin).
• Venue data: venue name, venue type, address, logo, reward settings, terms documents.
• Promoter data: name, contact details, promoter type and referral code.
• Referral data: covers logged, points earned, rewards redeemed and their dates.
• Billing contact data: contact name, billing email, venue address, country and postal code.
• Support messages you send us.
• Technical data: IP address, device and browser information, and usage/telemetry logs.

Card details are never collected or stored by us — they are handled by Paddle, our Merchant of Record.

• Creating and managing your account and providing the service — performance of our contract.
• Tracking referrals, points and rewards — performance of our contract.
• Billing, invoicing and tax compliance — contract and legal obligation.
• Security, fraud prevention and abuse detection — legitimate interests.
• Customer support and service notifications — contract and legitimate interests.
• Improving the product — legitimate interests.
• Marketing emails, where sent — consent, which you can withdraw at any time.

• Paddle.com, our Merchant of Record, for the sale of subscriptions, payments, invoicing, refunds and tax compliance.
• Service providers acting on our instructions: Cloudflare, Inc. (website hosting), Supabase, Inc. (database, sign-in and file storage), Lovable Labs Incorporated (app platform and email delivery), HighLevel, Inc. (website chat), and Plausible Insights OÜ (cookie-free website analytics).
• Venues and promoters you transact with, limited to the referral and reward data they need.
• Professional advisers such as legal and accounting, where necessary.
• Authorities, where we are required to disclose by law.

We do not sell personal data.

Our providers may process data outside your country, including outside the UK and EEA. Where that happens we rely on appropriate safeguards such as Standard Contractual Clauses or an adequacy decision.

We keep account, referral and reward records for as long as your account is active and for up to seven years afterwards where needed for tax, accounting and dispute purposes. Data no longer needed is deleted or anonymised.

Subject to local law, you may request access to your data, correction, erasure, restriction, portability, or object to processing based on legitimate interests, and withdraw consent where we rely on it. Email privacy@referralhub.app and we will respond within one month. If you are in the UK or EEA you may also complain to your local supervisory authority.

We use appropriate technical and organisational measures, including encryption in transit, row-level access controls on our database and restricted administrative access.

We use essential cookies and local storage to keep you signed in and to remember your preferences. Our analytics (Plausible) is cookie-free and does not track you across sites. We do not use advertising cookies. You can clear or block cookies in your browser, but the service may not work properly without the essential ones.

ReferralHub is not intended for anyone under 18. We do not knowingly collect personal information from children. If you believe a child has given us their information, contact privacy@referralhub.app and we will delete it.

We do not make decisions about you based solely on automated processing that have legal or similarly significant effects.
